Synopsis

The Washington Metropolitan Area Transit Authority (WMATA) seeks to lease a fleet of multifunction devices (“MFD”) and corresponding Managed Print Services to support both the leased and WMATA-owned printing assets, in a 24 hrs. /day, 7 days/week, 365 days/year (24x7/365) environment.

WMATA’s enterprise printing environment is primarily comprised of leased network-enabled, Color and BW, multifunction devices (MFDs). The enterprise printing capabilities are accessible both from user-workstations and mobile devices.

The leased devices are enabled with mobile printing feature which allows customers to print from anywhere within the organization, from any endpoint device by emailing documents to a single email addressed reserved for the mobile printing, eliminating need for a special application on the endpoint device. The electronic documents can be printed and securely retrieved from anywhere within the organization.

The current population of leased equipment consists of 311 (approx.) Xerox multifunction devices: 196 black & white printers and 115 colored printers. The number of leased devices are subject to change as additional devices are provisioned/de-provisioned in the environment.

The monthly average for number of pages being printed from both black & white and Colored printers stands at 946,167 and 383,845 respectively. These devices serve an approximate population of 13500+ WMATA personnel, in their day to day needs of printing, copying, plotting, scanning and faxing tasks, within a service region spread across 1500 square miles within the national capital region. The expected term of the lease agreement for new MFD equipment is five years which will include one base year, and four option year periods. The current lease agreement is expiring on June 30, 2018. In addition to the leased equipment, this consists of a limited number of WMATA-owned shared and local printing/copying/scanning devices.

The endpoint environment consists of heterogeneous operating systems and hardware platforms. The supported operating system platforms are comprised of Microsoft Windows 7 and above, Apple iOS, Mac OS, Android and Linux.

A pre-bid conference will not be held. Your company’s bid must be submitted in accordance with the IFB’s terms and delivered to WMATA’s, Office of Procurement and Materials, 600 Fifth Street, NW, Room 3C-02, Washington, DC 20001-2651, no later than 2:00 p.m. on 5/25/18.
